The type of personal information we collect

We currently collect and process the following information:

  • Payment information given so that we can invoice for the work done and receive payment (for example, the bank your business uses and other relevant financial information)

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To gain an understanding of what your business needs and how McLeod Digital Services can help by providing our services. This includes but is not limited to Search Engine Optimisation (SEO) advice, assistance with choosing a web host or domain, working on your website including accessing information and content you provide, setting up online storage solutions and email servers.
  • To enable us to create online listings, such as directory listings (for example on Yelp, Wikipedia, Tripadvisor) for you and your business.
  • For the purposes of purchasing pertinent services and equipment, such as domain names, web hosting packages, online advertisements, cloud storage solutions and other digital services for your business.
  • So that we can invoice you for the payment of any services provided.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • If you require directory listings and have an existing directory listing, we may access the existing listing and store the information given so that future listings are consistent and accurate.
  • If you have an existing website or social media page, we may access them and store information from them to ensure your future website or social media pages contain the same information.
  • If you have an existing online store, we may store information about your products, delivery time-frames, frequently asked questions and any other information which may be of use on new online stores which we are creating as per your request.

We use the information that you have given us in order to carry out work as per your request (for example, creating new online store-fronts, new directory listings, updating your website or creating a new one, the purchasing of relevant online services such as web domains and online cloud solutions and any other required work as instructed).

We may share this information with other organisations who are involved with this work and whose contact details you have provided (for example, if you have an external SEO agency or marketing agency we may share information with them).

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored.

We keep contact information, supplied business information, payment details information, online cookies and personal identifiers for one year from the completion of the services provided. This data is kept so that we can perform additional services (for example, bug testing or additional SEO support) should they be requested in the near future. We will then dispose of your information by deleting all saved correspondence, files and access information (for example, usernames and passwords for cloud service accounts provided to your company) from our servers.

We will endeavour to provide this information to you and/or your company prior to deletion, to the best of our abilities. Should you wish, we will delete this information at an earlier date at your request.
